Recording payments
When money arrives, record it on the invoice so your outstanding balances stay truthful. Open the invoice and click Record Payment (also available from the dollar-sign icon on the invoices list).
The payment dialog
- Amount — pre-filled with the amount due. Edit it for a partial payment.
- Payment Date — defaults to today.
- Method — Bank Transfer (default), Credit Card, PayPal, Cash, Check, or Other.
- Notes — optional; a good place for a check number or transfer reference.
Click Record Payment. Partial payments are fully supported — record as many as it takes, and each one accumulates in the invoice's Payment History section. The totals area shows Amount Paid and the remaining Amount Due; when the balance reaches zero, the invoice flips to Paid.
Recorded a payment by mistake? Delete it from Payment History (trash icon, with a confirmation). Deletions are logged in the activity trail.
Invoice statuses
| Status | Meaning |
|---|---|
| Draft | Created but not sent. Still fully editable, and the only status that can be deleted. |
| Sent | Emailed to the client, or marked as sent manually. |
| Viewed | The client opened the invoice email. |
| Paid | Amount due has reached zero. |
| Overdue | Past its due date with a balance remaining. |
| Cancelled | Voided. The invoice is kept for the record but no longer counts as receivable. |
The invoices list can be filtered by any of these, along with client, project, date range, and a search box that matches invoice numbers and client names.
Cancelling and deleting
Cancel (in the invoice's overflow menu) voids an invoice without erasing it — use it for invoices that will never be paid. Delete exists only for drafts; once an invoice has been sent it can be cancelled but not deleted, keeping your numbering and history intact.
