Taxes, discounts, and deposits

An invoice's total is built up as: subtotal + taxes − discount − deposit credit. Here's where each piece comes from.

Taxes

Tax rates are defined once in Settings → Invoice → Tax Rates. Each rate has a Label (e.g. "Sales Tax"), a Percentage, and an Apply by default on new invoices switch.

Rates marked as default are applied automatically when you create an invoice; each shows up as its own line in the totals ("Sales Tax (7.5%)"). Manage the list — add, edit, delete, change defaults — in Invoice settings.

If your client needs their tax number printed on invoices, that's the client's Tax ID fields; your own tax ID comes from your business profile in Invoice settings.

Deposit requests and credits

Deposits recorded on a client's projects surface in step 2 of the invoice wizard:

  • Deposit Requests — unpaid deposits. Ticking one adds it to the invoice as a charge, which is how you formally ask for the retainer or upfront payment.
  • Deposit Credits — paid deposits. Ticking one subtracts it from the invoice total, shown as a negative Deposit Credit line. That's how a client's earlier payment reduces what they owe now.

A deposit can only be credited once; after it's applied to an invoice, it won't be offered again.

Discounts

When an invoice carries a discount, it appears as its own negative line in the totals, between the taxes and the deposit credit. Discounts aren't part of the creation wizard — if you need to knock an amount off, add a negative-effect manual line item or adjust the invoice in edit mode.
