Exporting and sharing reports

Once the Reports page shows the period and filters you want, four export options sit in the header (on mobile they're in an Export Report sheet):

  • PDF — downloads a formatted time report.
  • CSV — downloads the raw entry data. Pro only; the button carries a "Pro" badge on the free plan.
  • Print — sends the same PDF layout to your printer.
  • Send — emails the report as a PDF attachment.

What the PDF contains

The report PDF uses your invoice branding — logo, business name, and brand color from Invoice settings. It opens with the period, any active filters, and summary cards (total hours, billable %, entry count, estimated revenue), followed by a full entries table: date, client, project, description, billable, duration, rate, and amount, with totals at the bottom.

On the free plan the footer includes "Powered by Gigtime" branding; Pro PDFs omit it.

Emailing a report

Click Send to open the Send Report dialog. The To field takes one or more comma-separated addresses (pre-filled with the client's email when a client filter is active). The Subject and Message are pre-written — subject like "Time Report — Jun 1 – Jun 30 from Acme Studio", body with an hours-and-entries summary — and fully editable. Click Send and the PDF goes out as an attachment.

Pro users with a verified custom email domain send report emails from their own address — the Send reports from address on the domain card, or the invoice address when no separate one is set.

This is handy for clients who want to see hours before you invoice, or for your own accountant at tax time.

CSV format

The CSV mirrors the PDF's entries table, one row per time entry, named Report_2026-06-01_to_2026-06-30.csv style. For exporting entries with more filter control (or outside the Reports page), see CSV export.
