Scheduled reports
If you send the same "here's what I did this week" email to the same client every Friday, let Gigtime do it. Scheduled reports email a summary of your logged time on a recurring schedule, automatically. This is a Pro feature — the section only appears for Pro subscribers.
Creating a schedule
On the Reports page, find the Schedule Reports section and click New:
- Schedule Name — e.g. "Weekly Client Report".
- Frequency — Weekly, Biweekly, or Monthly, with a day picker: day of the week for weekly/biweekly, or day of the month (1st–28th) for monthly.
- Report Filters — optionally scope to a client, a project, and/or billable status, exactly like the on-screen report filters.
- Recipients — one or more email addresses, comma-separated.
Click Create. New schedules are active immediately.
What gets sent, and when
Reports go out on the day you chose, covering the period ending yesterday:
| Frequency | Covers |
|---|---|
| Weekly | The previous 7 days |
| Biweekly | The previous 14 days |
| Monthly | Roughly the previous month |
Recipients get an HTML email with a summary (total hours, billable percentage) and an entry table — date, client, project, description, duration, billable. Scheduled emails are a formatted summary rather than a PDF attachment; if a client needs the PDF, send it manually.
With a verified custom email domain, scheduled reports also go out from your own domain — the Send reports from address (or the invoice address when no separate one is set), with replies routed to your business email.
Managing schedules
Each schedule in the list shows its cadence in plain words ("Every Monday", "Monthly on the 1st"), its filters, and its recipient count, along with:
- An active switch — pause a schedule without deleting it; flip it back on when the project resumes.
- A pencil to edit any field.
- A trash button to delete (with a confirmation).
If you cancel Pro, schedules stop sending — they'll resume if you re-subscribe.
