Logging time
The Entries page is where your logged hours live. Gigtime is built around logging time after the fact — you don't need a running timer to record work. Open Entries, tap Add Entry, and type in what you did.
Adding an entry
Click the Add Entry button (bottom-right of the Entries page). The entry form asks for:
- Date (required) — defaults to whatever day you're viewing.
- Client — optional. You can log time with no client and assign it later.
- Project — optional, filtered to the selected client. Picking a project fills in its client automatically.
- Service — appears only when the project has service items. The project's default service is pre-selected.
- Duration (required) — two boxes, hours and minutes. Enter
1and30for an hour and a half. There's no decimal format to remember. - Description — optional. As you type, Gigtime suggests descriptions you've used before; press Enter or Tab to accept the top suggestion.
- Billable — a switch, on by default. See Billable vs non-billable.
Click Add Entry to save. Duration has to be greater than zero — everything else can wait.
Day, Week, Month, and Custom views
Four tabs at the top of the page control how much time you see at once: Day, Week, Month, and Custom. Choosing Custom opens a date-range picker so you can view any span you want.
Use the arrows to step backward and forward — one day, one week, or one month at a time depending on the view (Custom shifts by the length of your range). Tap the date label in the middle to jump to a specific date, or hit Today to snap back to now.
A Total line under the navigator sums the visible entries. In Week, Month, and Custom views, entries are grouped by day, and each day's header shows its own subtotal.
Filtering and sorting
Tap the funnel icon to open the filter bar. It has chips for:
- Billable — cycles through Billable: All, Billable, and Non-billable as you tap it.
- Sort — Newest, Oldest, Longest, or Shortest.
- Client and Project — open checkbox lists so you can filter to one or several at once.
A red Clear button appears whenever a filter or sort is active. The funnel icon turns teal so you can tell at a glance that you're looking at a filtered list.
Editing and deleting entries
Tap any entry to reopen it in the same form, change what you need, and click Save Changes. To delete it, use the red Delete button in the same dialog.
One exception: entries that have been added to an invoice are locked. They show a padlock icon ("Invoiced — cannot edit") and can't be opened or edited. This keeps your invoices honest — the hours on a sent invoice always match the entries behind it.
If you start editing and try to close the form, Gigtime asks whether you want to discard your changes rather than silently throwing them away.
Assigning entries in bulk
Logged a pile of hours before setting up clients and projects? You don't have to fix them one at a time.
- If any entries have no client, an orange banner appears at the top of the page: "X entries (Yh Zm) have no client assigned." Click Assign to move them all to a client at once.
- For anything else, tap the selection icon (next to the funnel) to enter selection mode. Tick the entries you want — or Select All — then use the Project or Service buttons to assign them in one shot. Invoiced entries can't be selected.
Assigning a service in bulk only works when all selected entries belong to the same project, since services are project-specific. Gigtime tells you if the selection doesn't qualify.
Importing and exporting
The import and export icons next to the filter controls lead to the CSV import wizard and the CSV export dialog. Both are Pro features — on the free plan these buttons take you to the upgrade page instead.
