Troubleshooting

Signing in

"Please verify your email address before signing in." Your account exists but the email link hasn't been clicked yet. Find the verification email (check spam) and click it, then sign in. The signup screen's "check your email" panel has a resend option if it never arrived.

"Invalid email or password." Exactly what it says — but if you originally signed up with Google or Apple, you don't have a password. Use the matching Continue with… button instead. Otherwise, reset via Forgot password?.

"Too many attempts. Please wait a moment and try again." Rate limiting after repeated failures. Wait a minute or two.

My 2FA code is rejected. Codes expire every 30 seconds — type the current one, not one that's about to roll over. If codes are consistently rejected, your phone's clock is probably off; enable automatic time or use the time-sync option in your authenticator app. Lost the authenticator entirely? Contact support@gigtime.app — there are no backup codes.

"Session expired. Please sign in again." Your login token lapsed (see session timeout). Click Sign In Again and carry on; nothing is lost.

Timer and entries

The timer shows different times on two devices. It shouldn't — elapsed time is computed from server time precisely to avoid this. If a device is showing a stale timer, it has probably lost its connection; switch away from the app and back, or check your network. The server's timer is the truth, and stopping from any device records the correct duration.

I stopped the timer but don't see the entry. The entry is dated the day the timer started. If you worked past midnight, look at yesterday. Also check the entries view mode — Day view only shows the selected date.

I can't edit or delete an entry. A padlock means the entry is on an invoice. Remove it from the invoice (or delete the draft invoice) to unlock it. That's by design — sent invoices should always match their underlying entries.

Entries seem to be missing. Nine times out of ten it's a filter. Open the filter bar and hit Clear, then check the view mode and date. The billable filter and client/project filters persist while you navigate.

Invoices and email

My client never got the invoice email. Ask them to check spam, then verify the recipient address on the client's billing contacts. Resending is safe — open the invoice and click Resend.

The invoice doesn't show as Viewed even though the client read it. Open tracking needs the recipient's mail client to load images; many corporate mail systems block them. "Viewed" is reliable when it appears — its absence proves nothing.

Time entries I expected aren't offered in the invoice wizard. The wizard pulls entries that are billable and not already invoiced, from the sources you ticked in step 1. Check: is the entry marked non-billable? Is it on another invoice? Did you tick its project (or General Entries for project-less time)? Is a date range narrowing it out?

Wrong rate on an invoice. Rates resolve per entry: the project's hourly rate first, then the client's default rate. Fix the rate on the project or client and rebuild the draft — existing line items keep the rate they were created with.

Importing

"File too large. Maximum size is 10 MB." Split the CSV into smaller files (most tools let you export by year) and run the import more than once. Duplicate detection keeps overlaps from double-importing.

Rows were skipped with warnings. The preview step lists why — usually an unparseable date or a missing duration. Fix those rows in a spreadsheet and re-import; already-imported rows will be flagged as duplicates.

Everything imported under "Create new" clients I already had. Mapping auto-matches on exact names only. Next time, map each CSV client to the existing record in step 4. For the ones already duplicated, reassign their entries in bulk (Entries page → selection mode) and delete the accidental clients.

Desktop and mobile apps

Windows/macOS app is out of date. Desktop apps self-update roughly daily, but you can force it: Settings → General → Check for Updates. If the app is very old it may show a mandatory upgrade screen — install the latest from gigtime.app.

No push notifications on my phone. Check the type is enabled under Settings → Notifications (the Push column), then check the system-level permission for Gigtime in iOS/Android settings. System-level blocks win.

I subscribed on my phone but the web app says I'm free. Open the Subscription page on the phone and tap Restore Purchases, and make sure both devices are signed into the same Gigtime account. Pro status is account-wide once the store subscription is linked.
